Full Job Description

We’re a local heating and cooling company located in San Jose servicing the Santa Clara county and surrounding areas. We’re a growing company looking for a Service Dispatcher to join our team and take our Service Department head on. Our Service Dispatcher must be strong with decision making and flexible with change.

Required Qualifications:

Advanced customer service skills
Ability to multi-task
Organized
Geographical knowledge of service area or map reading skills
Knowledge of industry is recommended but not required
Computer skills
High school diploma or general education degree (GED)
Five years related experience and/or training in customer service, dispatching or project management or equivalent combination of education and experience
Attend and complete dispatching school

Desired Qualifications:

• Working knowledge of HVAC industry

• 3+ years HVAC Dispatcher experience

• 5+ years Dispatching experience

• Advanced level knowledge of software technologies, such as iOS, Android and Windows OS

Daily Duties, not limited to:

• Take incoming customer calls.

• Schedule and coordinate all service calls as calls are received.

• Create dispatch tickets for service calls.

• Dispatch Service Technicians, one call at a time.

• Review debrief of Service Technicians after completion of each call.

• Respond to all messages left overnight.

• Maintain the dispatch board / schedule.

• Forecast workload for 2 – 3 days out.

• Contact customers with a “Parts Pending” status as parts are received for scheduling.

• Follow up on all pending and recommended work with customer utilizing the pending work log.

• Ensure all service calls are booked correctly.

• Ensure all service calls are closed correctly.

• Schedule club memberships in a timely manner.

• Maintain club membership information.

• Keep up to date with dispatch program information and understand how to use each feature of it.

• Update customer files as information is received from installation. (Equipment info, new customers, etc.).

• Maintain on call schedule, to include 1st on call and standby technician.

• Maintain customer history files in database.

• Update Service database from service tickets.

• Happy calls / customer surveys.

• Assist in training future dispatchers.•
Other duties as assigned.

Requirements:

• A minimum of three (3) years experience

• Basic troubleshooting abilities

• Ability to design and install duct systems

• Clean DMV record

• Pass background check and drug test

• Possess basic hand and HVAC tools

• Attention to detail and quality

• Willingness to learn and apply

• Great communication skills
